Job Scope
Assists team managers, project managers and program managers in performing projects and team administration tasks. (Resource Onboarding process, project/system related permission management, project budgeting, resource management, project charging allocation, project document approvals, timesheet management, and other administrative work)
The Job
You will:
? Be responsible for the on-boarding and off-boarding process of staffs.
? Permission control for project/system access.
? Coordinate team activities, meeting arrangements, workshops and training sessions
? Other Team Administration tasks (Staff information collection, org-chart update, Travel record maintenance, asset management, etc.)
? Maintain project charging information projects, ensure that all project related resources have project(s) for recharge. Proactively discuss with project and programme managers when it is necessary to make adjustment to project charging assignment.
? Be responsible for project document approvals workflow, monitoring the approval status to make sure the documents can be approved on time. Keep updating the record for the approved technical and project documentation(s).
? Ensure appropriate standard is maintained when it comes project administration across all projects
? Assist Project Managers on project financial inquiries related to budget spent and budget available, monitor the resource allocation in JIRA. Be responsible for project financial checking, and report the project financial status to Project Managers regularly.
? Assist in project kick-off and project closure activities, including document approvals, interactions with PMO and preparation of project related documents.
? Liaise with PMO for inquiries related to project management process, project documentation requirement and document approval.
? Assist Team Managers to maintain the relationship within internal team, with relevant IT stakeholders and relevant business units.
? Be responsible for procurement process.
About You
You should have:
? Relevant academic background: Business Administration, Information Technology, or related disciplines
? High level understanding of IT project management methodologies including waterfall and agile is an advantage
? Ability to communicate at all levels within the organisation
? Fast Learner, have an ability to manage multiple tasks under pressure, and to meet short- and long-term deadlines
? Strong English language skills (written and spoken)
? Proficiency in Cantonese is required
? Experience with Microsoft Office suite is a must
? Experience with JIRA and Confluence is an advantage
