Position Title: Human Resources Assistant
Supervisor: HR Manager
Job Responsibilities: The Human Resources Assistant is responsible for one or more of the following work functions assigned by the HR Manager.
Compensation & Benefits
- Assist the HR Manager and Payroll Manager in formulating and optimizing the school's compensation and benefits system, ensuring compliance with national laws, regulations, and industry standards.
- Be responsible for the calculation, disbursement, and individual income tax declaration of employee salaries, ensuring accuracy and timeliness.
- Track and implement benefits within school policies.
- Manage employee benefit programs such as social insurance, housing fund, commercial insurance, etc., ensuring employees receive their entitled benefits.
- Employment Management
- Assist the HR Manager and the Payroll Manager in managing contract signing, contract changes, position changes, and related communication and clarification for new and existing employees.
- Handle all aspects of employee entries and exits, including notifications.
- Collaborate closely with school and department leaders to complete employee probation assessments.
- Recruitment & Hiring
- Assist the HR Manager in developing and improving the school's personnel recruitment plans and processes to ensure smooth recruitment operations.
- Be responsible for recruitment promotional tasks, including the creation of recruitment materials, promotional materials, and media presentations, as well as the planning and logistical arrangements for job fairs.
- Explore and maintain recruitment channels, including online recruitment platforms, offline job fairs, etc., to expand the talent pool.
- Post job advertisements, screen resumes, arrange interviews, participate in interview evaluation processes, and provide input for hiring decisions.
- Expatriate Staff Management.
- Familiarize with policies related to foreign teachers teaching in China and processes for work visas, residence permits, etc. Be responsible for processing visas, renewals, and residence permit extensions for foreign teachers.
- Thoroughly understand local medical resources and the school's commercial medical insurance policies, providing timely assistance and handling for international employees' medical needs.
- Assist in coordinating work and managing the lives of international teachers, resolving difficulties and issues encountered in their work and daily lives.
- Organize and participate in foreign teacher exchange activities to promote cultural exchange and integration.
Government Liaison
- Interface with government officials at various levels and departments, promptly receiving, forwarding, and handling instructions and tasks from government agencies.
- Manage national teacher information systems, such as Guanjiaotong, Smart Primary and Secondary School, and Foreign Teacher Information Management Platforms, ensuring accurate and timely updates of information.
- Complete annual information collection and compilation tasks as required by the government, including managing staff ledgers and educational talent statistics.
- Cooperate with government departments to complete various inspections.
- Maintain frequent communication and liaison with government officials at all levels to ensure awareness of the latest policies and developments.
- Internal Administrative Management
- Establish, maintain, and update employee human resources files, ensuring the accuracy and completeness of file information.
- Manage various school HR-related documents and materials, such as recruitment records, employee contracts, training materials, etc.
- Regularly organize and file work-related materials for easy access and auditing.
- Collaborate closely with school and department leaders to organize and plan regular employee performance evaluations.
- Comprehensively manage employee licensing requirements.
- Assist the HR Manager in formulating, executing, publishing, and recording internal policies, regulations, and processes.
- Manage employee daily work attendance and activity attendance, accurately recording attendance results, and providing payroll data support based on attendance results.
- Implement employee discipline management according to school policies and leadership instructions, including but not limited to employee talks, issuing warnings, and other disciplinary measures.
Employee Services
- Promptly, accurately, and responsibly issue various certificates for both Chinese and international employees.
- Provide work-related assistance and services to Chinese and foreign employees as instructed by superiors.
- Provide caring service for employees, representing school leadership in condolence and celebration visits during employees' significant life events.
- Provide comprehensive and detailed explanations and guidance on policies and processes to new and existing employees.
- Administrative Affairs
- Participate in school events of various sizes as required and provide work support as needed.
- Organize new and old employee orientation at the start of each academic year.
- Participate in departmental administrative tasks such as budgeting, weekly reports, monthly reports, etc.
- Fulfill other tasks that may be reasonably assigned by school leadership.
