Responsibility:
1.Establish and maintain document control systems in compliance with company standards and regulatory requirements.
2.Manage the registration, distribution, revision control, and archiving of technical documents, drawings, and records.
3.Ensure proper version control and traceability of project documentation throughout the document lifecycle.
4.Coordinate with engineering, procurement, quality, and other departments to ensure timely and accurate document flow.
5.Monitor and enforce document approval workflows to guarantee accuracy and completeness.
6.Support internal and external audits by providing required documentation and traceability records.
7.Operate and maintain electronic document management systems (EDMS) to ensure secure and efficient access to information.
8.Provide training and guidance to project teams on document control procedures and best practices.
Requirements:
1.Document Control & Information Management
*Strong understanding of the full document lifecycle: creation, review, approval, distribution, archiving, and revision control.
*Proficient in version control and ensuring traceability of technical documents.
*Knowledge of document coding and classification systems based on project or industry standards (e.g., ISO 7200).
*Hands-on experience with Electronic Document Management Systems (EDMS) such as Aconex, Procore, SharePoint, or Documentum.
2.EPC Project Workflow Knowledge
*Familiarity with the typical phases of an EPC project: Engineering, Procurement, and Construction.
*Understanding of various types of technical documents and drawings (e.g., P&IDs, electrical layouts, structural drawings, material specifications).
*Awareness of project deliverables, submission requirements, and documentation schedules tied to project milestones.
*Ability to interpret contract requirements and technical specifications related to documentation.
3.Quality & Compliance
*Knowledge of quality management systems (e.g., ISO 9001) and their impact on document control procedures.
*Capability to support audits by maintaining complete and traceable documentation records.
*Familiarity with regulatory compliance and documentation standards in relevant industries.
4.General Skills
*Strong communication and coordination skills to liaise effectively with engineering, procurement, construction, QA/QC, and client teams.
*Proficiency in English (reading and writing) is essential, especially in international projects.
*High attention to detail and a methodical, responsible approach to document handling.
*Basic understanding of project management principles and how documentation aligns with project progress and scheduling.
5.Preferred/Bonus Skills
*Prior experience in large-scale industrial projects (e.g., oil & gas, power, infrastructure).
*Familiarity with industry-specific standards (e.g., ASME, API, IEC).
