1 Administrative Management Duties
? Oversee the day-to-day administrative operations of SZC, ensuring smooth and efficient business processes.
? Work as Club-wide centralized contact person to coordinate and liaises with relevant local government bureaus and authorities for application and renewal of relevant club licensing and permits, to ensure required licenses are applied and granted in accordance with the set timeline as required for operations.
? Set up office administration formalities, procedures and filing system and takes care of daily office administration work – this shall apply for the full fledge Shenzhen Centre.
? Provide administrative support to HoMMOSMM to ensure that the Club’s policies, standards, and procedures applicable to administrative functions are properly implemented.
? Ensure all files are kept up-to-date at all times.
? Collect and manage back-office staffs’ Health Certificates to meet related government requirements.
? Supervise and control Shenzhen Center operation Licenses and Permits obtain, renew and annual checking work. Update HKJC/BJCH Audit and Compliance departments timely.
? Management of administrative budget and daily expenses of Shenzhen Centre (administrative budgets proposal, cost controlling, etc.)
? Responsible for the ordering and re-ordering of office supplies (e.g. stationery) and consumables as needed, and keeping track of all orders, amount spent, and inventory of supplies.
? Support other key required corporate processes from BJCH/HKJC as required, for example, physical inventory count of all on-site operating equipment, furniture, etc.
? Perform other ad-hoc duties as required by supervisor
2 Compliance Management
? Assist HoMMOSMM in controlling Company Chops usage. Ensure proper and compliant filing and documentation of chopped files at all times.
? Maintain a log of company chop usage and ensure compliance with company policies.
? Support SZC business departments for contract review and approval processes to ensure compliance with company standards and regulations.
? Maintain gifts or entertainment declaration record and report to Compliance according to related procedures.
? Keep track of contracts, all correspondence of chopped and other critical documents.
3 Property Management
? Act as the primary point of contact for property-related matters, including leasing, maintenance, and facility management.
? Liaise with property managers, and external vendors to ensure the office environment is well-maintained and operational.
? Oversee office space planning, renovations, and relocation as needed.
4 Main Team Coordinator between Shenzhen Center, BJCH and HKJC
? Be a main contact person to HKJC/BJCH and handles the corporate personnel’s visit schedule in Shenzhen. Assists BOS and BOMs on administration/secretarial work when required. Also helps HKJC Executives and Assistant Executives on booking related matters when required.
? Act as team coordinator and assistant for any important TEAM VISITS / TRIPS for business purposes. For example, team visits to CRC for development purposes, team orientation trips to Hong Kong, etc.
5 Attendance Management
? Oversee employee attendance daily management, ensuring accuracy and compliance with company policies.
? Generate monthly attendance reports and address any discrepancies or issues.
? Liaise with BJCH HR operation for overtime management and annual leave balance management.
6 OSH Duties
? Act as OSH (Occupational Safety and Health) local coordinator to implement HQ OSH programs.
? Support SZC OSH Champion to coordinate with HKJC OSH working group on related work, to ensure that employees can work in a safe and healthy working environment.
7 Fire Safety Inspection
? Conduct regular fire safety inspection and report to HOMMOSMM when hazards are found. Meanwhile, written reports will be distributed to each department and require all relevant departments to improve within a limited time period.
? Liaise with external safety consultants and fire department as needed.
8 General Supports
? Support HR to organize staff engagement activities, events and annual party locally.
? Responsible for keeping training attendance records
? Execute team-building exercise and monthly employee birthday party to foster a positive working environment.
? Apply for access cards for new employees and grant necessary access permissions.
? Retrieve access permission of departing employees and keep the cards.
